PTO Nonprofit 990 Filing: Which Tax Form You Need and When to File

Dealing with taxes for your Parent Teacher Organization (PTO) or Parent Teacher Association (PTA) is one of the most stressful things about being Treasurer for your school parent group.

Have no fear, we’re breaking down all you need to know about PTO nonprofit 990 filing with the what, when and how to file your PTO’s taxes via the 990 form.

The most important thing to know is that there isn’t one 990 form.

There are a few, and which one you need to file depends entirely on how much money passed through your school parent group last year.

Get the size wrong and you’re either doing way more paperwork than you need to, or not enough (and that one’s the problem).

All PTO Nonprofit 501(c)(3) Organizations Must File a 990 Form

Here’s the part new Treasurers of 501(c)(3) PTOs don’t expect: it doesn’t matter if your PTO brought in $400 or $40,000.

Tax-exempt doesn’t mean tax filingexempt.

You still need to file a 990 tax form annually.

The Three Federal 990 Options

The IRS sorts organizations into one of three 990 forms based on gross receipts (income) and total assets.

Here’s how it breaks down:

Form 990-N (the e-Postcard) 

For organizations with gross receipts normally $50,000 or less, the 990-N is the version you’ll need to file.

This is where most PTOs land, and it’s genuinely quick and easy.

Answer a handful of questions online, hit the submit button, and you’re done until next year.

Form 990-EZ 

For nonprofit organizations with gross receipts under $200,000 and total assets under $500,000, the 990 EZ is for you.

You’ll need to answer a few more questions than the postcard version, but it’s still nothing to panic about.

Full Form 990 

A full 990 form is required once gross receipts for your group hit $200,000 or more, or total assets hit $500,000 or more.

This is the long version of the form, with schedules and more detailed financial disclosures required.

This will take a bit more time because there’s more involved, but non-accountants will be able to handle filling it out.

Again, nothing to panic about.

PTA vs. PTO: This Part Actually Matters

If your group is a PTA, your local unit is technically a sub-filing under your state PTA.

If you’re a PTO, you’re on your own with a completely independent filing.

This just means you’ll walk through a longer set of questions than your PTA counterparts do.

Nothing is complicated, just more to handle.

Don’t Forget Your State Filing

The federal 990 form is only half the picture when it comes to annual filings your group needs to do.

Most states also require a separate charitable filing, and this is genuinely the part that eats up the most time.

Not because it’s hard, but because finding where to file is a hunt the first time you do it.

If you’re new to handling this task and your predecessor didn’t pass along the information you need, start by searching for your specific state’s charitable filing requirements.

Some of the filing requirements are short and sweet, with just a handful of questions with a dollar threshold that determines whether you’re done after page one or need to answer a few more.

Yours might look completely different.

State requirements shift, so check the Attorney General or Secretary of State’s website of your state to get the details.

Then make a note of how to file the report in your Treasurer’s Planner so incoming officers will have ready access to the information.

When is the 990 Filing Due?

For organizations running on a calendar year, the federal deadline is May 15.

Most PTOs run on the school year instead (July through June), which pushes your due date to November 15.

If you need more time, there’s a single six-month extension available.

What if You Skipped Filing the 990?

Miss your 990 filing three years in a row, and the IRS automatically revokes your tax-exempt status.

Not a warning letter, not a phone call… an automatic revocation of your 501(c)(3) status.

And getting that status back is a whole process nobody wants to do.

You basically need to apply for reinstatement and jump through hoops (not insurmountable, but a pain).

So even in the years your group barely made anything from fundraising, even if it feels like there’s nothing to report, file something.

The postcard version exists specifically so this doesn’t become a burden.
