It’s tempting to ignore this requirement because, honestly, who would know?
Venmo is already on your phone.
So it’s easy to skip past making an official account for your PTA/PTO and just use Tammy the Treasurer’s Venmo account instead.
But that’s the thing about shortcuts, they always cost more than you think.
Take the time to set up a proper business account for Venmo.
Play by the rules and you won’t have to worry about the consequences.
Personal PayPal Account Won’t Work Either
PayPal is basically the same situation as Venmo.
You cannot use a regular personal PayPal account to accept money for your organization.
You need a business account or a nonprofit account.
If you try to slip a personal account past them, you’re violating their terms of service, and it will catch up to you at some point.

I get why you’re looking for a way around processing fees.
Credit card fees hurt.
You’re trying to raise money for your school, and it feels wrong to lose 2.9% plus $0.30 on every transaction to a payment processor.
So the shortcut feels logical.
Just use Venmo.
Just use PayPal like it’s personal.
Avoid the fees, raise more money, done.
Except it’s not done.
It’s the opposite!
You get shut down, and now you can’t access that money.
Parents can’t pay you.
You lose trust.
You have to scramble to figure out a new system mid-year while everything’s chaotic
That’s not saving you money.
That’s costing you way more than a processing fee ever would.
The Right Way to Use PayPal and Venmo for your PTO
The right way tot use payment apps like PayPal and Venmo is to take the time to set up a business account on the platforms.
Jump through those hoops and you’ll never need to worry about getting banned from the apps.

How to Use Payment Apps for Your PTO
Now that you have your PTO’s business account set up on your preferred payment app, now what?
It’s time to make sure parents and students start to use the payment options or all of your hard work setting up the accounts will have gone to waste.
Advertise Payment Options
My first tip for things to remember when using PayPal or Venmo for your PTO is to consistently advertise that you accept payments through the app.
Send an email to families.
Post it in your class newsletters.
Tell the students.
Make it clear that paying via an app is an option.
You might be surprised how many people take advantage of it the moment they know it’s available.
I’ve seen PTOs increase their revenue just by offering a convenient payment method.
Families spend more when they don’t have to dig through their house for cash or remember their checkbook.
Make it Easy to Use
Make it painfully obvious that your PTO is now accepting payments digitally.
Create a QR code that links directly to your payment page.
Put it everywhere.
Spirit wear order form? QR code.
Concessions booth? QR code.
Membership dues email? QR code.
Fundraiser sign-up sheet? You guessed it. QR code.
The easier you make it, the more people will use it.
Adjust your pricing to account for the processing fee.
Here’s the thing about processing fees, though.
Yes, they’re annoying. But families actually want this option.
They don’t want to write checks.
They don’t want to hunt down cash.
A digital payment feels modern and easy, and people will use it even if it costs slightly more.
So add the processing fee to the digital price list.
If you’re collecting $5 for something, add 3% to cover the credit card processing.
That’s about 15 cents.
Charge $5.15 or round it to $5.25.
Your families won’t bat an eye, and your PTO doesn’t lose money.
